Payment terms

01

Quote and reservation

Quotes are valid for seven calendar days unless stated otherwise. A date is not reserved until Social Nest approves the event, both parties accept the rental agreement, and the required reservation payment clears.

02

Reservation payment

Fifty percent of the estimated booking total is due when the agreement is signed. This payment is applied to the final balance. Bookings made seven days or fewer before the event require payment in full.

03

Remaining balance

The remaining balance is due seven calendar days before the event. Approved additions, overtime, damage, extraordinary cleaning, returned-payment costs, and other post-event charges remain payable after the event.

04

Security deposit

Social Nest may require a refundable security deposit of $250 for standard rentals or up to $500 for celebrations, alcohol service, higher-risk activities, or events with vendors. Any undisputed remainder is returned within seven business days after inspection.

05

Cleaning, tax, and processing

Every booking includes a required $50 cleaning fee. Extraordinary cleaning is additional. Applicable taxes and clearly disclosed third-party payment-processing charges are added when required and are not included in website estimates unless expressly shown.

06

Late or failed payment

Access is not permitted while required amounts remain unpaid. A $25 administrative charge may be assessed for a failed payment or balance remaining unpaid after written notice, to the extent permitted by law.

Cancellations and rescheduling

01

30 or more days before

Payments are refundable less a 10% administrative charge, or the renter may transfer the paid amount once to an available date within six months without the administrative charge.

02

15–29 days before

Social Nest retains 50% of the booking total. Amounts paid above 50% are refunded. One date transfer may be approved for a $75 rescheduling charge, subject to availability.

03

14 days or fewer before

All amounts paid are nonrefundable. If cancellation occurs after the final balance is due, the full contracted amount remains due because the date can no longer reasonably be rebooked.

04

Social Nest cancellation

If Social Nest cancels without renter default, the renter may choose a full refund of amounts paid or transfer all payments to an available date.

05

Emergency or force majeure

For government closure, building inaccessibility, severe weather, utility failure, or another event beyond reasonable control, Social Nest may reschedule the event or issue a credit. Obligations for services already performed or nonrecoverable third-party costs remain payable.

Venue and building policies

01

Approved use and occupancy

Meetings, workshops, classes, networking, content production, and private celebrations require advance approval. Guest count and layout may never exceed the building’s approved use, Certificate of Occupancy, posted occupant load, egress limits, or instructions from City and fire officials. Social Nest currently uses a conservative planning cap of 49 guests until written approvals establish otherwise.

02

Fourth-floor building conduct

Guests must use authorized entrances, elevators, restrooms, parking areas, and corridors; respect neighboring commercial tenants; and follow building security and after-hours procedures. Corridors, stairwells, fire doors, sprinklers, extinguishers, and accessible routes must remain unobstructed.

03

Reserved time and overtime

Rental time includes deliveries, setup, decorating, event activity, breakdown, cleanup, and departure. Early access requires written approval. Overtime is billed at the published applicable rate in 30-minute increments, with a one-hour minimum when staff or building access must be extended.

04

Food and breakroom

The breakroom refrigerator, sink, and counters support light preparation and service. Frying, open flame, grease-producing cooking, smoke, and strong odors are prohibited. Caterers and food vendors require advance approval and must provide licenses and insurance when requested.

05

Alcohol

Alcohol requires Social Nest’s prior written approval. The renter is responsible for any required Virginia ABC banquet or special-event license, licensed service when applicable, age verification, responsible service, and liquor-liability coverage. Alcohol may not be sold or served to anyone under 21 or visibly intoxicated.

06

Decorations and prohibited items

No open flame, candles, smoke or fog effects, glitter, confetti, firearms, illegal substances, hazardous materials, pyrotechnics, or attachments to life-safety equipment. Decorations must be removable and may not damage walls, ceilings, doors, floors, furniture, or building systems.

07

Noise and behavior

Amplified sound and activities must remain at a level appropriate for an occupied commercial building. Social Nest may require volume reduction, removal of a disruptive guest, or immediate event termination for unsafe, unlawful, threatening, or materially disruptive conduct.

08

Minors, animals, and accessibility

Minors require continuous adult supervision. Service animals are permitted as required by law; other animals require written approval. Guests should disclose reasonable accessibility needs early so arrival, layout, and emergency planning can be coordinated.

09

Vendors and insurance

The renter is responsible for vendors and guests. Social Nest may require certificates of insurance naming the requested parties as additional insureds, including general liability and liquor liability where applicable. Vendor activity may not begin without required documentation and approval.

10

Damage, property, and cleanup

The renter is responsible for damage, missing property, excessive trash, stains, prohibited materials, and costs caused by guests or vendors. Social Nest may deduct documented amounts from the security deposit and invoice any excess. Personal property left behind is not guaranteed and may be discarded after seven days.

11

Parking and deliveries

More than 200 shared parking spaces are available without charge, but spaces are not individually reserved or guaranteed. Loading, vendor arrival, and oversized deliveries require advance coordination and may not block fire lanes, accessible spaces, entrances, or neighboring businesses.

12

Safety and emergencies

Renters must follow staff, building management, emergency personnel, alarms, and evacuation instructions. Elevators must not be used during a fire emergency. Social Nest may pause or terminate an unsafe event without refund when necessary to protect people, property, or legal compliance.

Customer disclosures

01

Website estimates

The pricing calculator is an estimate based on starting rates and one unit or hour where indicated. It is not an invoice, contract, tax calculation, or guarantee of availability. The approved written quote and signed rental agreement control.

02

No automatic reservation

Submitting an inquiry, creating a Google Calendar tour request, or receiving an automated acknowledgment does not reserve the venue. Confirmation requires written acceptance and any required payment.

03

Photos and descriptions

Photos may show staged layouts, optional décor, or equipment not included in every rental. Dimensions and amenities are provided in good faith but should be confirmed during a tour when material to the event.

04

Assumption of ordinary risk

Renters and guests remain responsible for ordinary risks arising from their activities, vendors, equipment, food, alcohol, and personal property. Nothing in these policies waives rights or responsibilities that cannot legally be waived.

05

Controlling agreement and changes

The signed rental agreement, final quote, building rules, and event-specific approvals control over this summary. Social Nest may update website policies prospectively; the version incorporated into an executed agreement governs that reservation.
